Purchasing Assistant – Utica, NY (Kent Street Location)

CABVI is seeking a full-time Purchasing Assistant to Perform a variety of tasks relating to the ordering of goods and supplies for CABVI and ensure purchase orders arrive on schedule and meets the purchaser’s specifications. Consider the relative costs and benefits of potential purchasing actions and choose the most appropriate one.

 

KEY JOB ELEMENTS:

· Compile requests for materials, utilizing HappyFox ticketing system.

· Prepare and/or edit purchase orders from various departments.

· Place orders with suppliers or vendors and ensures that documentation is in order with terms and conditions being clear.

· Develop bid specifications by researching and writing RFPs (Request for Proposal).

· Analyze bid responses, considering all relevant criteria and awards the order to the appropriate vendor.

· Ensure accurate material receipt by performing regular follow-up on open orders as per agreed terms.

· Maintain records, reports, and logs necessary to document and summarize purchasing activities, trends, and actions required for the Purchasing Department.

· Coordinate product returns with all departments.

· Resolve shipping discrepancies with vendors in a timely manner, ensuring proper documentation and record keeping of discrepancies is complete.

· Research ways to reduce agency costs by investigating new suppliers on a regular basis.

· Take on departmental projects, as necessary to assist the Product Sourcing Manager in the continuous improvement of departmental processes.

· Develop a working knowledge of all procedures & operations as pertaining to Purchasing & as contained in the Purchasing Policies & Procedures handbook.

· Compile documents and complete credit applications for new vendor accounts.

· Assist Product Sourcing Manager in training Purchasing Clerk, as necessary.

· Conduct all actions in conformance with the CABVI Purchasing Policies and Procedures Manual.

· Adapts to change and completes other duties as assigned.

· Consistently achieves annual performance objectives.

 

COMMUNICATION SKILLS

Maintain good written and verbal communication skills to deal with people internal to CABVI, as well as with suppliers, shipping agents, other companies and vendors

 

COMPUTER/TECHNICAL SKILLS

Computer competency required. Must have good typing and data entry skills. Must be familiar working with databases, spreadsheets and word processing. Must have good mathematical skills. Must be willing to learn new technology.

 

PHYSICAL DEMANDS:

EDUCATION and/or EXPERIENCE:

Associates degree or equivalent combination of education and experience required. A minimum of at least three years of related experience.
