Vision Rehabilitation Office Supervisor – Utica, NY
CABVI is seeking a Vision Rehabilitation Office Supervisor to Supervise various activities in the Vision Rehabilitation Office including training and supervising assistants, medical insurance billing, orders and inventory, account balances and daily office flow.
KEY JOB ELEMENTS
· Supervise the rehabilitation assistants and provide training and support. Conduct performance evaluations timely and fairly and update job descriptions as needed.
· Act as point of contact for all consumers and accounts. Create new consumer accounts in software and oversee, collect and review co-pays and deposits/payments for all consumers.
· Provide moneys received to the Business Office daily with details of the matching invoices.
· Prepare and enter consumer invoices timely while ensuring accurate billing.
· Oversee the flow of adaptive, optical and eyewear inventory by receiving PO requests/MR’s, reviewing them to assess the needs of the department, submitting for approval and placing orders as needed. Responsible for managing the flow of orders and sending them to the appropriate departments for special orders as needed. Work with the Business Office for invoice processing and inventory controls and audits.
· Verify payments are correctly updated and recorded in software by monitoring and tracking accounts.
· Point of contact for all consumers and accounts.
· Submit insurance claims for consumer payments, follow up on submissions as needed and keep track of balances owed or adjustments.
· Review, investigate and resolve billing and account issues while working with consumers, staff and/or Business Office to resolve discrepancies and ensure timely resolutions. Identify trends and late payment issues and record and maintain notes in software.
· Collaborate with the Business Office to update processes and reconcile accounts as needed.
· Create department policies and procedures as it relates to this role and ensure they are followed. Train associates on policies, processes and best practices.
· Provide routine reports to management. Respond to any requests for data such as an aging analysis, billing information, write-offs and collections, statistics, etc.
· Promote and maintain a strong internal controls environment.
· Effectively communicate with employees and maintain a positive
working relationship when addressing problems and coming up with solutions. Work as part of the team to improve processes, efficiencies, communication, and promote resolutions so the agency can pursue its mission.
· Adapt to change and completes all other duties as assigned.
· Consistently achieve annual performance objectives.
SUPERVIOSRY DUTIES
Responsible for directing the daily supervision and training of the rehabilitation assistants. Requires strong leadership and team building capabilities with solid decision-making skills
COMPUTER/TECHNICAL SKILLS
Must have good typing, data entry and mathematical skills. Must have excellent computer skills including Microsoft Word and Excel. Must have a basic understanding and experience with product inventory. Must be willing to learn new technologies and have good security practices for sensitive information.
PHYSICAL DEMANDS
Frequently required to talk, hear, and performing clerical duties that require walking and standing. Occasionally required to reach with hands and arms, and stoop or kneel. Reasonable accommodations may be made to enable individuals with disabilities to perform the key job elements.
EDUCATION and/or EXPERIENCE
Minimum of an Associate’s degree in related field; Bachelor’s degree is preferred. Minimum of three years accounts receivable, insurance billing and supervisory experience required.
